The Numbers Every Small Business Owner Should Check Every Month

July 26, 2026

You don't need to be an accountant to run your business by the numbers. You need to look at a handful of the right ones, consistently, so nothing sneaks up on you.

Here are the figures worth ten minutes a month.

Cash in the bank, minus what you owe

Your balance on its own is misleading. What matters is what's left once you account for the tax, GST, wages, and bills coming down the line. That number tells you whether you're actually in front.

Money owed to you

Unpaid invoices are cash you've earned but can't spend. Check who owes you and how long it's been outstanding. Anything past its terms needs a follow-up, not a shrug.

Your gross margin

This is what's left from each sale after the direct cost of delivering it. If your margin is slipping, you're working harder for less, and you want to catch that early rather than at year end.

Revenue against last month and last year

One month in isolation tells you little. The trend tells you everything. Comparing against the same month last year strips out seasonal noise.

Your fixed costs

Subscriptions, rent, and retainers have a way of creeping up. A quick monthly scan catches the ones you forgot you were paying for.

The bottom line

None of this requires a finance degree. It requires the habit of looking. Ten minutes a month keeps you ahead of problems instead of reacting to them. If you'd like a simple monthly dashboard set up so these numbers are always in front of you, that's exactly the kind of thing we help with.
